Summary: As the initial point of contact, the individual in this position will be responsible for representing the organization in a professional manner. Additionally, as the public “face” of the agency, the individual must be familiar with all agency operations, have a welcoming manner and be comfortable speaking with people from across the community. The primary responsibilities will involve assisting and directing clients to correct staff in order to receive necessary services and schedule appointments for the Social Services, Supportive Services and Immigration Departments. The receptionist will greet visitors, answer and direct calls, provide information to visitors and callers about the organization, its services, handle incoming and outgoing mail and perform general office and clerical activities as necessary. 


Essential Duties and Responsibilities:

  • Greet clients and visitors in a courteous and respectful manner.
  • Answer and direct all calls in a professional and courteous and manner.
  • Promote the goals and mission of the Agency and promote its membership initiatives.
  • Tactfully ascertain the services needed by clients and provide accurate program and referral information.
  • Schedule appointments for staff and clients as needed.
  • Provide clerical and project assistance to staff as needed.
  • Receive, sort, and distribute incoming mail and faxes to appropriate staff.
  • Stamp mail and coordinate the pick-up and delivery of express mail services.
  • Maintain adequate supplies for fax machine and postage meter.
  • Assist with other related clerical duties such as photocopying, faxing, updating the Staff Directory.

  • Necessary knowledge of PAA programs and services

Supervisory Responsibilities: None

Job Relationships: Works with Managers and Administrative staff to provide clients with current and accurate service and referral information.

Education and/or Experience:

  • Minimum High School diploma.
  • Minimum of one year administrative experience.
  • General office and Microsoft office skills.
  • Customer relations skills.
  • Adept at dealing with individuals from different racial and socio-economic backgrounds.

Language Skills: Polish and English

Physical Demands: This is largely a sedentary role; however, some standing, bending is required to operate office equipment and the ability to lift files.
